Executive Assistant to the CEO (Costa Rica-Based)

About the company:

We are a leading accounting firm based in the USA, seeking a proactive and highly organized Executive Assistant to support our CEO in managing business operations and networking initiatives in Costa Rica. This role requires a dynamic professional with strong organizational, communication, and problem-solving skills who is comfortable working in a fast-paced environment.

Job Summary:

The Executive Assistant will be responsible for coordinating the CEO’s travel arrangements, managing local meetings with business leaders, supporting site visits for potential office spaces or personal properties, and acting as a liaison between the CEO and the local accounting team. This role requires frequent travel within Costa Rica and a keen ability to manage operations independently while ensuring smooth communication between the CEO and stakeholders.

Key Responsibilities:

  • Travel Coordination: Manage travel logistics between the USA and Costa Rica, including flights, accommodations, and itinerary planning.
  • Meeting & Event Coordination: Organize and facilitate networking meetings with local business leaders and CEOs to expand professional connections.
  • Site Visits & Property Management: Accompany and assist the CEO during visits to potential office locations or personal property investments.
  • Local Team Support: Act as the CEO’s representative in Costa Rica, ensuring smooth operations and serving as a point of contact for the local accounting team.
  • Office Management: Oversee administrative and operational tasks in the Costa Rican office, ensuring efficiency and organization.
  • Communication & Reporting: Maintain clear and timely communication with the CEO, providing updates and recommendations regarding business and operational matters.

Qualifications & Requirements:

  • Residency in Costa Rica with the ability to travel frequently within the country.
  • Bachelor’s degree in Business Administration, Accounting, Communications, or a related field preferred.
  • Minimum of 3 years of experience in an executive support, administrative, or operations role.
  • Strong organizational and multitasking abilities with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work independently and make informed decisions.
  • Fluency in English and Spanish (written and spoken) is required.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Experience working with international executives is a plus.
